What a Zoom Room is
A Zoom Room is a conference room set up so that anyone can start or join a meeting with one touch. A room device handles the camera, microphones and speakers, a touch controller or scheduling panel sits at the table or by the door, and the room shows up in your Zoom account like any other managed device. Done well, nobody ever has to think about the technology.
How we design a Zoom Room
Start with the room, not the product
We walk the space and note the seating layout, table shape, glass, ceiling height, ambient noise and where the display needs to go. Those facts decide the system, and they are why two rooms that look similar on paper can need different equipment.
All-in-one video bars as the default
For most rooms we specify an all-in-one video bar that runs Zoom Rooms itself. There is no separate room computer to patch, replace or rebuild, which means fewer failure points and far less to support. Our Logitech and Neat pages cover the systems we install.
Larger rooms get a distributed design
Boardrooms, divisible rooms and long tables need more than a bar can deliver. For those we design around ceiling or table microphones, a Biamp DSP for echo cancellation and mixing, and Crestron control where a single panel needs to run the whole room.
Network, provisioning and calendar
We work with your IT contact on wired connections, power over Ethernet, VLANs and the firewall rules Zoom publishes. We then provision each room in the Zoom portal, connect it to your calendar system (Google Workspace or Microsoft 365), and test join, share and audio before we leave.
What is included
- A site walkthrough and room-by-room design
- Equipment specification and procurement
- Mounting, cabling and installation, with clean cable management
- Zoom Rooms provisioning and calendar integration
- Crestron programming and Biamp DSP configuration for larger rooms
- Acceptance testing: a call from every seat
- Training for the people who will actually use the rooms
- Ongoing support after installation
Which system fits which room
| Room type | Typical approach |
|---|---|
| Huddle room | Compact all-in-one bar with a touch controller or scheduling panel |
| Small to medium room | All-in-one bar, with an expansion microphone for longer tables |
| Large room or boardroom | Distributed audio with ceiling microphones and a DSP, additional cameras as needed, Crestron control |

Frequently asked questions
How much does a Zoom Room cost?
It depends mainly on room size and audio needs. A huddle room with an all-in-one bar costs a fraction of a boardroom with ceiling microphones, DSP and multiple displays. We scope each room after a walkthrough. Our guide to what drives conference room AV cost explains the factors.
Is a Zoom Rooms license required for each room?
Zoom Rooms are licensed per room through your Zoom account, separately from user licenses. We can help you confirm what your current Zoom plan includes before you buy hardware.
Can a Zoom Room also join Teams or Google Meet meetings?
In many cases yes, depending on how the room and your accounts are configured. If your company uses more than one platform, tell us early and we will design around it. See Zoom Rooms vs. Microsoft Teams Rooms.
What do you need from us before you start?
A list of the rooms, their approximate sizes, the meeting platform and calendar system you use, an IT contact for the network, and any building access rules such as freight elevator hours or after-hours work requirements.
Do you support the rooms after installation?
Yes. We provide support and maintenance after installation, including firmware updates, troubleshooting and changes as your rooms and needs evolve.
